Annual Enrollment Period (AEP) Reminders
AEP Dates: October 15th through December 7th

CB0017-16

October 3, 2016

  • You may begin discussing 2017 benefits beginning on October 1.
  • Do not submit 2017 enrollment applications until October 15th.
  • Do not encourage a beneficiary to send an enrollment application to a carrier prior to October 15th.
  • Do not backdate a Scope of Appointment form; wait the 48 hours and then return to the beneficiary’s home.
  • Have the consumer initial ALL types of products on the SOA form that may be discussed.
  • Take your time with each client and complete a thorough needs analysis.
  • Remember to ask if anyone else should be present during the appointment (i.e. Legal Representative or Durable POA).
  • Follow all carrier guidelines for a complete and compliant sales presentation, using all CMS-approved marketing material. Do not deviate from the approved presentation.
  • Review all of the plan’s benefits.
  • Carefully check the carrier’s website for participating providers.
  • With the beneficiary’s permission, review all prescription medications against the proposed plan’s formulary. Explain drug tiers, quantity limits, step therapy, the exceptions process and prior authorization.
  • Explain Part D’s initial coverage limit, the coverage gap and catastrophic coverage.
  • Be sure the consumer has a clear understanding of how the plan works and answer any questions or concerns that may arise.
  • If the new enrollment is for a Medicare Advantage Plan, the beneficiary should thoroughly understand that an MA plan is not Medicare Supplement Insurance.
  • Complete the application in its entirety and review with the client prior to submission. Be sure to leave the consumer with a copy of all presentation materials along with your business card. You are your client’s first point of contact.
  • Be sure to submit the application to the carrier within the carrier’s guidelines, including weekends!
